Staff App Privacy Policy

This policy explains how Cuts Avenue Staff — the app our employees and contractors use at work, on Android and iOS — handles personal information. We handle personal information in line with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
It covers the people who use the app: our stylists, reception staff and managers. Information about our clients is covered by our main privacy policy — though this policy explains, below, what client information staff can see through the app and the limits we put on it.
Who we are
"Cuts Avenue" (we, us, our) is a group of related businesses that operate our five Sydney salons:

There is no sign-up, and the app is not for the public
The app is provided to our own staff for their work. You cannot create an account in it. A manager adds your mobile number to our staff access list first, and only then can you sign in — by entering that number and a one-time code we send you by SMS. Nobody outside that list can get past the sign-in screen, and there is no public content in the app.
What we collect, and why
- Your mobile number — how you sign in. We send a one-time code to it. It is also how your manager identifies your access.
- Your name, role and salons — your display name, whether you are a stylist, reception or a manager, and which salons your access covers.
- Your work record — the shifts you are rostered, the hours those shifts represent, the wage those hours cost, the appointments and clients you served, the takings attributed to you, and any tips or bonuses. This is ordinary employment record-keeping; the app is simply where some of it is entered and read.
- Photographs you choose to take — a stylist can photograph a finished haircut and post it to the salon's internal noticeboard. The app asks for camera and photo-library access only at the moment you choose to do this, and the step is optional.
- How the app is used — which screens are opened and which actions are taken, so we can find faults and see what is worth improving. This is tied to a staff account identifier and your name. Your mobile number is deliberately never sent to our product-analytics provider.
- A notification token — an identifier issued by your phone's operating system so we can send you work notifications, such as a booking request or a roster change.
We do not track your location, and the app does not run in the background to follow where you are.
Client information you can see in the app
Staff need to know who is in the chair, so the app shows client names and appointment history. Two limits are built into it:
- Client phone numbers are masked to the last three digits for stylists and reception.
- Managers reading a salon's till can see a client's full name and number, because identifying which person a sale belongs to is part of that job. This is checked on our servers against your role, not merely hidden in the app.
That information belongs to our clients and is governed by our main privacy policy. It is provided to you to do your job and for no other purpose.
The colour tool and free-text notes
The app includes a colour-formulation tool. Most heads are answered from our printed colour guide without anything leaving the phone. Where the printed guide has no route, the hair's characteristics — natural level, grey, previous colour, the target shade — and any note the stylist has typed are sent to an overseas AI provider to propose a formula.
We do not send a client's name, number or record to that provider. Because the note is free text, staff must not type client names or contact details into it.
How we use your information
- To let you sign in, and to keep access limited to current staff.
- To roster shifts, record hours, and pay wages correctly.
- To run the salons day to day — bookings, the waitlist, stock, takings.
- To send you work notifications.
- To find faults in the app and improve it.
- To meet our record-keeping obligations as an employer.
We do not sell your personal information, and we do not use it for advertising.
Service providers and overseas storage
We share information only with the providers who need it to run the app and our business, under arrangements that require them to protect it.
- Our database and secure file-storage provider — where staff records, rosters, hours and any photographs are kept.
- Our SMS provider — receives your mobile number to send your one-time sign-in code.
- Our push-notification provider — receives your notification token and the text of the notification.
- Our product-analytics provider — receives a staff account identifier, your name, and which screens and actions were used. Not your mobile number.
- Our AI provider — receives hair characteristics and stylist notes from the colour tool, as described above.
- Our app distribution providers — the Apple and Google app platforms, which handle installation and updates.
Overseas disclosure (APP 8): several of these providers store or process data outside Australia, mostly in the United States, so your information may be handled overseas. We take reasonable steps to ensure it is handled consistently with the APPs.
How long we keep it
- Employment and pay records — including rosters, hours and wage costs — are kept for at least seven years, as Australian workplace law requires of an employer.
- Your access record — kept while you work with us. When your access is revoked the record is retained as part of our employment records, and removed on request where we are not required to keep it.
- Photographs on the salon noticeboard — kept while they are useful to the salon, and removed on request.
- Usage data — kept for a limited period for fault finding and product decisions.
Keeping it secure, and losing access
We take reasonable steps to protect your information from misuse, loss and unauthorised access, including access controls, reputable providers, and collecting the minimum we need.
Access is controlled by your manager and revocation takes effect immediately — on the next request the app makes, not whenever you next sign out. A person who has left cannot read salon or client information from the app.
Accessing, correcting or deleting your information
Because there is no sign-up in the app, there is no self-service account deletion in it either. You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it, by speaking to your manager or contacting support@cutsavenuesalon.com.au. We will respond within a reasonable time. Some information — employment and pay records in particular — must be retained for the period the law requires.

If you have a privacy concern, please contact us first at support@cutsavenuesalon.com.au and we will work to resolve it. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
